The opportunity to join our dynamic North Shore Employment Resource Centre as an Career Resource Specialist/Administrator awaits a talented Career Practitioner or Administrator seeking a new challenge.

In this multi-faceted role, as an Administrator/Career Resource Specialist at Training Innovations, you will work within the Work Resource Centre to support clients as they engage in various job search activities and utilize your information resource management skills to assemble resources and assist individuals with accessing information that will enable their career success. In this role you will also support the overall administrative needs of the program and team by providing data & information management, administrative systems management and technology trouble shooting, as well as, professional customer service and reception services.

Administrator/Career Resource Specialist

The primary expectation of this unique position is to provide administrative support, professional customer service and assist Work Resource centre clients with their employment needs by working directly with them in the Work Resource Centre.

Success is measured by:

➢ Creating a warm, welcoming and professional first impression for site visitors

➢ Promptly, informatively and courteously responding to phone and face-to-face inquiries

➢ Courteously and efficiently scheduling appointments and maintaining appointment availability utilizing electronic office scheduling software

➢ Continuously evaluating existing processes and systems and proactively seeking opportunities to improve or streamline ineffective or inefficient processes or systems

➢ Providing administrative support in the areas of word processing and document preparation, filing systems maintenance, mail and fax distribution and other administrative expertise to team lead and colleagues

➢ Consistent function of office technology and availability of office supplies such that site operations are seamless and efficient

➢ Assessing Work Resource Centre client needs and either assisting them directly within the Work Resource Centre or encouraging clients to participate in individual employment services with a Career Strategist

➢ Ensuring clients have met their career development and learning goals through the information, resources and support offered in the Work Resource Centre

Qualifications & Experience

• Bachelor degree in business, communications, education, sociology, or related field preferred or Diploma in a related field combined with additional studies in counselling, education, or helping skills acceptable

• Previous experience in administration, career development, or communications, with regular participation in ongoing learning courses/programs

• Previous experience in an administrative role, ideally two years or more or combination of administrative training and experience in customer service and/or career development

• Preference for individuals who have worked in environments requiring maintenance of confidential information and materials

• Sound working knowledge of MS Office, Internet and Email applications

• Outstanding communication and interpersonal skills, including warm and professional telephone demeanour and face-to-face service delivery.

• Strong client service skills including demonstrated ability to build rapport and manage relationships with clients, employers and stakeholders

• Focussed commitment to support clients in career transition and to utilize knowledge of career practitioning and or adult learning to support clients in their return to work efforts

• Outstanding research, analysis and communication (written and verbal) skills

• Alignment with and ability to display organizational core values of: accountability, communication, innovation, performance, relationship and spirit.
